FYI: Update information

This is the text of an email that I sent on Friday to the chapters/orgs that have stated their attendance on the front page

At the moment, we have 13 chapters and organisations planning to be part of the Chapters Village already. \o/

Setting

I have trained my architectural skills and tried to "draw" how the Village will be arranged incl. a random suggestion of how to use the tables, feel free to edit. But keep in mind:

Some of you stated that you will be in the village all the time, some will only be there for certain hours, which is totally fine. Please be aware that you cannot reserve a table for the whole time if you are not planning to be present there all the time.

WMDE will be present in the village during all three days, permanently (Fri/Sat 10:00-18:30, Sun 10:30-17:00). If your chapter/organisation is planning to be there for the full three days, too, please add your name to the drawing. If not, please coordinate with each other how to best share tables.

Programme

The Chapters Village will be open from Friday till Sunday, during regular conference times.

Those of you who added a meet-up or speed geeking appear in the official programme which is distributed to all participants by the organisers. On top of that, we have printed a nice leaflet that we can all spread on-site.

Please note that the whole meeting space (4 tables) will be in use during the Friday tea break, during ALL breaks on Saturday, and during lunch break on Sunday.

After the talks on Friday (~17:30), Wikimedia UK will host AN OLD ENGLISH TEA PARTY. \o/

LCD

One really awesome thing about the Chapters Village – apart from the thrill of maybe getting hit by a typhoon – is the biiiiig LDC screen (4.8m x 2.5m). We can operate the screen from our notebook. If you would like to show something, please either send it to me via email before Wednesday or bring an USB stick (to have us not rely on the wifi).

We will use VLC player to create playlists and loops. You can easily save power point presentations as wmv files, for example. So if you'd like to show a presentation please configure it to skip automatically from one slide to the next. The notebook will run Windows, so please do not bring any exotic file formats. ;)

WMDE will be showing a little movie from our office, the winning photos from WLM international 2012, the Wikidata Visualisation, present the programme (meet-up times, availability of contact persons, “office hours”), Wikimedia Diversity Conference dates and details.

It would be so nice if you bring a lot of lovely stuff to show there as well. Movies, images, presentations, programme announcements etc.

Please note that there is no soundsystem available, so no audio with the videos. Also, the venue managers informed us that "music and stage performance should be carried out from 12:30p.m. to 2:00p.m. only. Please keep music down during other hours to avoid complaints."

Other

Over night, we can lock our stuff in a storage room provided by the local organisers. We recommend to take your electronic devices with you, and only leave information material etc. in the storage room.

The local organising team have been a really great help and supported all our plans and requests with relentless energy. This project would not have been possible without them. They deserve a real big thanks. <3

Kasia, Wenke and I will be in HK from Tuesday evening on. We will be checking out the venue on Wednesday, and keep you posted should there be any updates.
